Event Preparation Checklist

Submit an Event Request through the Facilities Service Request (FSR) portal on Caltech Access. This will initiate Facilities support for your event, including Custodial, Grounds, Security, and Planning, Design & Construction.

Planning, Design & Construction will help identify what is needed to meet all of the necessary regulations. We will discuss your event and determine what permits and plans you need, if any. We can also schedule a pre-event inspection for compliance with state and local regulations and requirements. We are focused on making sure the event is safe for everyone. We recommend that you submit your FSR six to eight weeks prior to your event to allow time in the event a City of Pasadena permit is required. Some of the conditions for which you could be required to obtain a permit include:

If you will have a temporary tent larger than 120 square feet, you will need to obtain a building permit. The event or tent company should be able to provide the permit-required documentation, including a site plan and engineered plans and calculations. Please go to City of Pasadena's Permit Center website to start the permitting process. Please note, if you are a new user, step one is to create an account.

If you are cooking food at the event, you will also need fire department approval.
